As-is Analysis - deep dive for your processes, content and systems
We identify the need for action in order to sustainably optimize your information strategy.

It is clear where your information journey should go. Now it’s time to take a critical look at the current situation with an information analysis. We work with you to develop a detailed picture of your current processes, content and systems. Our as-is analysis depicts the current situation as it appears to us, without glossing over it. Any need for action is identified and evaluated, paving the way for an optimized information journey and sustainable success.
As-is Analysis in detail
Our approach to process and information analysis
The detailed analysis of the current status of your processes, content and systems forms the basis for targeted optimization and ensures that all measures are in line with the previously developed objectives and the defined target image.
Prior to the detailed analysis, we recommend our vision development workshop. This serves to coordinate the framework conditions, focal points and target priorities. The structured analysis using proven methods can then build on this precisely.
01Target Group Analysis
A central component of the as-is analysis is understanding the target groups that come into contact with your products or services or are involved in their creation. We examine which roles and stakeholders are relevant, what their needs are and what requirements can be derived from this.
We use the value proposition canvas as a method to precisely work out the tasks, challenges and expectations of the defined target groups. In doing so, we identify the so-called “pains” – i.e. the problems that need to be solved – as well as the “gains” – the profits that create the greatest benefit. At the same time, possible solutions (“pain relievers”) and benefit creators (“gain creators”) are identified in order to develop a sound understanding of the value proposition.
02Customer Journey
Looking at the customer journey is also an important part of our as-is analysis. We analyze in which phases and via which touchpoints your customers interact with your product or are involved in the process. This reveals where there is potential for a better user experience and shows what information is needed when and in what form.
03 Content Analysis
As part of the content analysis, we look at your existing information products in detail. We examine the existing content structures and the degree of modularization and analyze how metadata is used. The aim is to create transparency about the existing content and to evaluate its quality, consistency and reusability.
04 Process Analysis and System Analysis
Our analyses also focus on your current processes and systems relating to the creation, use and maintenance of information. We document the individual activities, the roles involved as well as inputs and outputs. This makes inefficient processes visible and identifies potential for improvement.
Results
Objectives of the As-is Analysis
Our information analysis creates transparency about existing processes, content and systems and shows where there is potential for efficiency, quality and user orientation. It is essential for making informed decisions about the next steps – be it the introduction of a component content management system (CCMS), the integration of AI solutions or the further development of existing structures.

Determining the maturity level of your information processes
The PANTOPIX 360° maturity model is also used in the detailed analysis. With this structured method, we determine the current maturity level of a company in terms of processes, content management, content delivery and also in terms of AI readiness and service maturity. It is the result of many years of experience with numerous customer projects from various industries such as mechanical engineering, aviation, agriculture, automotive and medical technology.
"Anyone asking themselves how they can provide technical information intelligently needs to look at content management. This presupposes that the processes have a certain level of process maturity. In short: without good processes, there can be no good content and no good provision of technical information."
FAQ
Frequently asked questions about the As-is Analysis
What does the As-is Analysis include?
During our information analysis, we work with you to develop a detailed picture of your current processes, content and systems – and align these with your visions and goals. In doing so, we look at your target groups, their needs and customer journey.
Is such an analysis even worthwhile for your project?
The as-is analysis is an important basis for every project because we work together to develop a detailed understanding of the next steps. We look at your current processes, analyze the specific content and systems, evaluate the effectiveness, ideally collect KPIs and critically examine your current situation. We also identify opportunities for improvement and optimization potential.
How long does the As-is Analysis take?
The duration of the analysis depends on the individual objective. As a rule, it takes 10 to 20 days.
What comes after analyzing the current situation?
The next step is to develop a content strategy for your technical information. This includes what processes, content and systems should look like in the future. Topics such as a unified content strategy, knowledge management, IT architecture and the use of artificial intelligence are taken into account.
